Download Your Outlook Toolbar

You can download your Outlook Toolbar as soon as you register.
- Log into your account
- Click on the "Tools" tab
- Click on the "Outlook Toolbar Conferencing Scheduler" link at the left
- Click the "Download" button
The download will only take seconds. You will need to restart Outlook to see the toolbar which will appear in the top left side of your screen.

Schedule Your Meeting

You can organize a meeting that automatically includes instructions for your guests with your conference access numbers, Participant PIN Code, and web conference link.
To Schedule an Audio and Web Meeting Using the Toolbar:
- Click on the "Organize Conference" button in your toolbar
To Schedule and Audio and Web Meeting in Outlook Without Using the Toolbar:
- Create a regular meeting invite
- Click on the "Add Conference Details" button you see at the top

Prepare Your Meeting Invite

Once you click on one of the above mentioned buttons and have your meeting invite open, you will see:
- All of your conference details pre-populated in the body of the email
- Participant PIN code and Web Login details in the "Location" section
- Feel free to modify the content of the invite to your liking
If you have a Pay-As-You-Go account and will like to add other access phone numbers for your participants, then while your meeting invite is open:
- Click on the "Set access numbers" link at the top of your page
- On the new window that opens up, check the boxes of the countries and access number types you'd like to include in your invitation
- Click "OK"
You should now see the numbers added to the "Join Audio Conference" section of your email.

Join the Conference

Participants receive simple instructions on how to join the conference. They will:
- Dial the access phone number they see in the email
- Click on the "Click here" link to the right of "Join Web Conference" to be directed to the web conference
- Type in their name and click "Go"!
You can also join the conference from here without having to log into your account or retrieving your own Moderator PIN code. Simply:
- Open the meeting invite
- Click on the "Join your web conference" button at the top of the page.
- You will be brought right into your own meeting without having to type in your name.
